Capital Craft Fair Exhibitor Rules
Rules & Regulations for 2020 Exhibits
All work must be original, handmade by the Artist. No kits, molds or mass-produced products permitted. No buy/sell. All work must be complete. Exhibited work must be consistent with the work submitted and accepted with the Artist application. Any change must be submitted to show management for approval. Product misrepresentation will result in immediate removal from the event and will be prohibited from participating in future events. Artist must be present at their booth during all open hours. Booth space may not be sublet. If art is a collaboration with another artist at least one must be present in the booth. Both collaborating artists must be listed on the application. Artists who were not accepted in the jewelry medium category may not offer jewelry for sale, with the exception if it is in the medium category you are participating in and is no more than 10% of your wares for sale.
Booth Space Fees/Cancellation Policy
In the event of cancellation by an Artisan/Vendor, SPARGO shall determine an assessment covering the reassignment of space, prior services performed, and other damages related to cancellation, according to the following schedule:
July 15, 2020 - September 17, 2020, $100 application fee After September 18, 2020 $300 cancellation fee applies
July 15, 2020 - November 6, 2020, $100 application fee After November 6, 2020 $300 cancellation fee applies
SPARGO must receive written notification of the cancellation by registered or certified mail. Date cancellation notice is received by SPARGO will determine above assessment charges. In the event of either a full or partial cancellation of space by an Artisan/Vendor, SPARGO reserves the right to reassign canceled booth space, regardless of the cancellation assessment. Subsequent reassignment of canceled space does not relieve the canceling Artisan/Vendor of the obligation to pay the cancellation assessment. Appropriate payment must be received within 15 days of cancellation.
Booth Space/Information (October and December 2020)
Standard booth space is 10’d x 15’w. Booths should be professional and aesthetically pleasing. All booth structures and materials displayed must fit in the confines of the booth space floor marking including booth personnel. Booths should be set with a backdrop to cover the storage area behind booth.
Booths must be set up by posted end time of move in. Failure to do so forfeits the booth space with no refund.
No booth, part or whole may be packed up or vacated until the event concludes. Failure to comply will result in not being invited to participate in future events.
Electrical, Internet/Telephone services will be available to order through the Dulles Expo Center website.
Be kind to your neighbors. No loud noises or obtrusive odors. The fair is a family event and booth staff are expected to act in a professional manner.
Storage is allowed in the marked space behind the booth. No materials may be placed on the Do Not Block areas per Fire Marshal regulations.
There is no outside the booth soliciting.
All materials and trash should be picked up and removed from the expo hall within the published move out times.
Nothing may be taped, nailed, or otherwise affixed to anything in the Dulled Expo Center i.e. walls, doors, columns, restrooms. No animals allowed other than service animals.
Load in and Load out will be through the marked front and side rollup doors or the loading dock. The Fire Marshall has prohibited driving of motor vehicles in the Dulles Expo Hall. Porter service will be available if needed.
Parking is free. There will be an Exhibitor parking lot by the loading dock.
Those Artists entering to participate through the jury process will be assigned a number. Names are not used during the selection process. Please do not include your name, logo or business name in any photos or your artist statement. The jurors will review the entries giving each a numerical score within each medium category. The highest scores are sent a notification of acceptance.
Sales Tax and Insurance
Each Artisan/Vendor is responsible for the collection of Virginia State sales tax. To apply for a Sales and Use Tax Account Number and/or view the current Virginia Sales Tax rate please visit http://www.tax.virginia.gov/register-business-virginia.
Insurance and the cost of is the responsibility of each individual Artisan/Vendor. Please check your insurance policies.
By submitting this application, I/we agree to hold harmless SPARGO Inc., and the Dulles Expo Center for any damage or loss to person or property. I/we agree to abide by the foregoing rules and those provided in the Artisan/Vendor Service Kit, and by any amendments and additional rules that may be put into effect by SPARGO, Inc., the Dulles Expo Center, CDC, County/State/Federal authorities.
The Artisan/Vendor agrees to Show Managements use of photos, video, and audio recordings to promote the Capital Craft Fairs.
Amendment and Additional Rules – Any matters not specifically covered by the preceding rules shall be subject solely to the decision of SPARGO, Inc. SPARGO, Inc. may, at any time, amend or add further rules to these rules, and all amendments made shall be binding on artisan/vendor equally with the foregoing rules and regulations.
